JOB OVERVIEW

Maintains executive secretary and / or administration assistant activities

JOB DUTIES AND RESPONSIBILITIES:

  • Receiving, Preparing and sending faxes, e-mails and other correspondence as directed.
  • Answers incoming telephone calls, investigates purpose, and forwards calls to the relevant persons or departments.
  • Takes and delivers messages or transfers calls to voice mail when the relevant person is unavailable.
  • Provides callers with information about the Company such as services, address, fax number, phone numbers, etc.
  • Takes & Schedules On-Site & Off-Site Appointments
  • Receives visitors, investigates reason for the visit and announces visitors to the relevant person.
  • Making reservations and travel plans for the Management
  • Handles necessary Courier and Shipping tasks
  • Maintaining and updating company files.
  • Attending meetings and other events as directed and taking minutes and notes.
  • Assisting other Company staff in the implementation of their components if so directed by the Manager;
  • Cooperating with and supporting all other members of the Company Team as required;
  • All other activities related to the day-to-day activities of the Company.
  • Daily Budgeting and Supplies Procurement
  • Information Research and Summarization via Internet and Subscriptions
  • Perform any additional tasks requested by the Manager.

QUALIFICATIONS REQUIRED:

The following skills and experience are required to fulfil the specific tasks:

  • Oral and written fluency in Arabic and English; knowledge of other languages (German) is an asset
  • Excellent typing skills (Arabic & English), computer literacy, especially word processing, presentation and spreadsheet applications.
  • Well-Read & Knowledgeable
  • Smart, Loyal, Honest & Highly Ethical
  • Excellent communication skills.
  • Professional demeanour and appearance.
  • Self motivated, solution-oriented and well organized.
  • Punctual, hard worker and pro-active.
  • Willing and able to work long hours to meet deadlines.
  • Liberal-Minded has no right or left inclinations whether religious or political
  • Minimum 2 years of experience in a similar position.

PERSON SPECIFICATIONS:

Education:

· A University degree from ALSON or LITERATURE
· Secretarial Certifications from accredited Organizations (please attach scanned copy with CV)
· Language Certifications from accredited Organizations (please attach scanned copy with CV)

Previous Experience:

Minimum 2 years experience in a relevant field (MALES are welcome).

Language Skills:

English & Arabic reading, writing, speaking & TRANSLATION skills

Computer Skills:

  • Windows XP
  • Microsoft Office 2003 or 2007 (Word, Excel, Outlook, Powerpoint)
  • Internet Tools - Messengers, Browsers (IE or Firefox), Email

Other Skills Required:

Good interpersonal & communication skills

WORKING HOURS

Sunday to Thursday – 9:00 A.M to 6:00 P.M

JOB LOCATION

The location of this Job will be at Mohandeseen, Cairo. Therefore, the applicant is preferable to be resident near this location or willing to work in it.

SALARY

Negotiable - depends upon the experience and skills.
